Landonline Release 2.9 Update for Conveyancers

For conveyancers, the layout of some e-dealing screens have changed in preparation for the introduction of new e-dealing instruments at a later stage.

  • Select functionality changes to the 'create dealing' and 'prepare instrument' screens have been made as outlined below
  • These functionality changes alter the appearance of screens as we prepare for future updates that increase functionality.

Two key benefits being introduced are:

  • The ability to 'split' fees – this reduces the need to send a disbursement cheque on settlement
  • Allowing different client reference numbers within a single firm.

Key changes are highlighted in the new screens below:

Create dealing

a - 'Resp for Fees' – this is a new column indicating responsibility for fees on an instrument basis. An icon will indicate the default fee settings (this defaults to the vendor being responsible for discharge fees and the purchaser being responsible for the transfer and mortgage fees). The apportioned fees display in the relevant firm's Fees Report. This removes the need to send a disbursement cheque on settlement.

bSecond client reference – if you are acting for more than one client, this allows for two client references within your firm. Both of the references will show on your fees report.

The party acting for the other side will also have two client references available for entry. When users from the different firms open the dealing they will only see client references relative to their firm.

c 'Resp for Release' icon – this icon is a visual indicator of change. It displays beside the default 'Responsible for Release' party as a visual indicator of any change.

d Submitting firm – this is a new field that confirms which firm is submitting the dealing for registration. The default submitting firm, which is the current standard, displays below the 'roles' box. The submitting firm change be changed by either party until the first instrument is released after which only the named submitting firm can change this field.

This may be changed by either party until the first instrument has been released. After release, only the submitting firm can change this setting.

e Add default Primary Contacts (PCs) and Conveyancing Professionals (CPs) – this functions in the same way as the 'single firm' check box. When checked, it will automatically populate the logged on PC and any linked CP details in the roles area of the screen as you add instruments. In addition, a drop down list is available in the roles area listing all PCs and CPs within the user's firm.

f Dealing type – this will default to "AUTO REG" and is greyed out so that it cannot be changed at this time. Other options under Dealing type will appear when further instruments are introduced.

g Instrument shading – shading alternative instruments in the 'roles' field is to improve the readability of the screen. When an instrument is highlighted the 'roles' field for that particular instrument will also be highlighted & vice versa.

h The 'add' and 'delete' buttons have been re-labelled to 'Add Inst' and 'Remove Inst'. The overall functionality of these buttons has not change.

Enter Titles

The fields and buttons on this screen have been changed and or moved to improve usability. A new column called Title Status has been added to show whether the title entered is 'Live' 'Cancelled', etc. New buttons have been added to allow entered titles to all be checked or unchecked as 'Affected' in one action, and the Search Titles screen binocular icon is now a button called 'Search for Title...'.

Prepare Discharge

i - Change due to pending dealing – This feature works the same for all of the prepare screens, i.e. it allows pre-populated information to be edited if necessary. For example – for a transfer instrument pre-populated information such as current registered proprietor will automatically display. If there is a prior dealing containing e.g. a transmission that will change the proprietor, you now need to check the 'change due to pending dealing' box. This enables you to insert the new details.

j A list of all valid instrument numbers on the affected titles automatically displays ready for discharge e.g. for a Withdrawal of Caveat instrument only the caveats on the titles are listed. If only one instrument number exists, this is the default. If there are multiple instrument numbers in the list, then it will default to blank with an arrow. You then select the appropriate instrument to discharge.

For instruments that do not display details of the charge-holder in the memorial e.g. Statutory Land Charge, it is necessary to enter details in the Name field.

k The 'OK' button has changed to read 'Save & Close' – this is only a change of name for this button. This change applies to all e-dealing screens.

l 'Discharge as to area' – allows for discharging less than the whole title. (Note – this function will be activated in a later release.)

Prepare transfer

m 'Transfer of' – four new radio buttons display in this area to allow the user to select the appropriate mode of use. They are: All of Title, Share/Interest, Part of Land/Complex, and Lease/Mortgage/Other. The default mode is 'All of Title'. (Note – this function will be activated in a later release.)

n Sole or Joint Tenants options – these are combined into one option as the effect is the same for both.

o The share for a joint tenancy must be entered against the last tenant for that joint tenancy. For example, Michael owns a½ share and Rosalind and Brian are joint tenants in the other ½ share, making one whole share.

Prepare Mortgage

p 'Mortgage of' – three new radio buttons display in this area to allow the user to select the appropriate mode of use. They are: All, Share/Interest/Complex, and Lease/Mortgage/Other. The default mode will be 'All'. (Note – this function will be activated in a later release.)

q Mortgagor area – includes Change due to Pending Dealing checkbox and displays Given, Family and Corporate names.

r Mortgagee Quick Code and Name – these two fields have been linked together and now a drop down is available for both fields to enable easy selection of lending institutions.

s Mortgage Details – new radio buttons (headings) have been added to this area and are named "All Obligations" and "Fixed Sum". "All Obligations" is the default and enables entry of the priority amount. If the "fixed Sum' option is selected, the priority amount is disabled and the remaining seven fields are enabled.

Other changes are:

  • 'Release of statutory land charge' – will now require entry of chargeholder name.
  • Removal of TAN box from all screens – this will have no impact as it is not used.
  • The 'Refresh' button has changed to read 'Restore' – this function reinstates the data back to the information you had when you opened the screen. The change applies to all e-dealing screens.
  • The 'Resp for Fees' & 'Resp for Release' columns are editable by users. To highlight any change occurring in these columns a visual indicator displays in the bottom right hand side of the screen with the date of the change.

  • Submitting Firm – once any instrument in a dealing is released the Submitting Firm is locked. The field is greyed out and is inaccessible. No-one from any other firm is able to change that field.
  • Changes to the management of fees including invoicing transactions when they are finalised, and showing the apportioned fee details for dealings in the Fees Report.

  • If utilised the second client reference displays in the Fees Report and Post registration searches.

General improvements within Landonline

  • The size of (number within) the Request Product List (RPL) is limited to 15 items per request (as opposed to unlimited) assist with overall processing. This will allow faster processing of all the requests. You are still able to undertake unlimited RPL requests.
  • Changes to the 'workspace' tree – these changes will allow each party to see all instruments in a dealing where they are a party to the dealing. They will only be able to see the details of instruments that they are a party to. The advantage is that parties will no longer need to open the dealing to see all the instruments in the dealing.
  • Changes to the Fees Report – includes a column to display status and new filters to search by either Client Reference or Transaction Id.

  • Screens now display in 1024x768 resolution to bring them in line with recommended resolution sizes and improve the screen layout to accommodate the increased functionality. For customers who require a lower resolution (e.g. 800x600) the screens automatically display scroll bars allowing access to all screen areas.

A number of the above enhancements were identified either by e-dealing users or as part of testing or routine maintenance. The references for these are; (MAR's) 705, 1004, 1041, 1080, 1102, 1149, 1200, (TPR's) 6124, 6180, 6329, 6332, 6342, 6379, 6388 & 7314.
