Detailed Information on changes to Landonline following 2.6 release

Landonline Release 2.9 Update for Conveyancers

The journey to 100% e-lodgement continues with Release 2.9 containing a number of enhancements as advised earlier in the February issue of Landwrap.

For conveyancers, the layout of some e-dealing screens will change in preparation for the introduction of new e-dealing instruments at a later stage. There will be select functionality changes to the 'create dealing' and 'prepare instrument' screens details of which you can see below.

To become familiar with all the changes in Release 2.9, we encourage you to discuss them with other Landonline users in your firm.

Most of the changes in Release 2.9 will alter the appearance of some screens as we ready ourselves for future updates with increased functionality.

The benefits for you

Within Release 2.9 you will already start to see some benefits being introduced. Two key benefits are…

  • The ability to 'split' fees – this will reduce the need to send a disbursement cheque on settlement.
  • Allowing different client reference numbers within a single firm.

Take a look at the new screens below. We have highlighted the key changes you will notice in the screens.

Create dealing

a - 'Splitting of fees' – there is a new column indicating responsibility for fees on an instrument basis. It will default to the vendor being responsible for discharge fees and the purchaser for the transfer and mortgage fees, removing the need to send a disbursement cheque on settlement.

b Second client reference – if you are acting for more than one client, this will allow for two client references within your firm. Both of these references will show on your fees report. The party acting for the other side will also have two client references available for entry.

c 'Responsible for release' icon – this icon is a visual indicator of change. It will display beside the default 'Responsible for Release' party as a visual indicator of any change.

d Submitting firm – this is a new field that will confirm what firm will be submitting the dealing for registration. The default submitting firm, which is the current standard, will display below the 'roles' box.

e Add default Primary Contacts (PCs) and Conveyancing Professionals (CPs) – this will function the same way as the 'single firm' check box. When checked, it will automatically populate the logged on PC and any linked CP details in the roles area of the screen as you add instruments. In addition, a drop down list will be available in the roles area listing all PCs and CPs within the user's firm 'Prepare instruments'

f Dealing type – this will default to "AUTO REG" and will be greyed out so that it cannot be changed at this time. Other options under Dealing type will appear when further instruments are introduced.

g Instrument shading – shading alternative instruments in the 'roles' field will improve readability of the screen.

h The 'add' and 'delete' buttons have been re-labelled to 'Add Inst' and 'Remove Inst'. The overall functionality of these buttons will not change.

i - Change due to pending dealing – This feature works the same for all of the prepare screens, ie it allows pre-populated information to be edited if necessary. For example – for a transfer instrument pre-populated information such as current registered proprietor will automatically display. If there is a prior dealing such as a transmission that will change the proprietor, you will now need to check the 'change due to pending dealing' box. This will enable you to insert the new details.

j A list of all valid instrument numbers on the affected titles will automatically display ready for discharge eg. for a Withdrawal of Caveat instrument only the caveats on the titles will be listed. If only one instrument number exists, this will be the default. If there are multiple instrument numbers in the list, then it will default to blank with an arrow then select the appropriate instrument to discharge.

k The 'OK' button will change to read 'Save & Close' – this will only be a change of name for this button. The change will apply to all e-dealing screens.

l 'Discharge as to area' – will allow for discharging less than the whole title. (Note – this function will be activated in a later release.)

m 'Transfer of' – four new radio buttons will display in this area to allow the user to select the appropriate mode of use. They are: All of Title, Share/Interest, Part of Land/Complex, and Lease/Mortgage/Other. The default mode will be 'All of Title'. (Note – this function will be activated in a later release.)

n Sole and joint options – these are being combined into one option as the effect is the same for both.

o 'Mortgage of' – three new radio buttons will display in this area to allow the user to select the appropriate mode of use. They are: All, Share/Interest/Complex, and Lease/Mortgage/Other. The default mode will be 'All'. (Note – this function will be activated in a later release.)

p Mortgagee Quick Code and Name – these two fields have been linked together and now a drop down is available for both fields to enable easy selection of lending institutions.

q Mortgage Details – new radio buttons (headings) have been added to this area and are named "All Obligations" and "Fixed Sum". "All Obligations" is the default and enables entry of the priority amount. If the "fixed Sum" option is selected, the priority amount is disabled and the remaining seven fields are enabled.

Other changes are:

  • 'Release of statutory land charge' – will now require entry of chargeholder name.  
  • Removal of TAN box from all screens – this will have no impact as it is currently not used.
  • The 'Refresh' button will change to read 'Restore' – this function will reinstate the data back to the information you had when you opened the screen. The change will apply to all e-dealing screens.

General improvements within Landonline

  • The size of (number within) the Request Product List (RPL) will be limited – to assist with overall processing, each RPL will be limited to 15 items per request (as opposed to unlimited). This will allow faster processing of all the requests. You will still be able to undertake unlimited RPL requests.
  • Updating of user details will only be available via a web form. This change will allow us to update user details throughout the relevant LINZ systems and not just Landonline e.g. customer support knowledge base. This means that some contact fields in the 'my details' screens within Landonline will be disabled.
  • Changes to the 'workspace' tree – these changes will allow each party to see all instruments in a dealing where they are a party to the dealing. They will only see the details of the instrument that they are a party to. The advantage is that parties will no longer need to open the dealing to see all the instruments in the dealing.

Details of the system fixes to be undertaken will be provided closer to the time, in the release notes.
