| TPR | Title | Description | Action |
|---|---|---|---|
Failure of Business Rule T071 for names containing 'Trust' and 'Trustee' | Business Rule T071 checks for valid names that include the word Trust or Trustee – eg Public Trust. If the entered name includes additional punctuation eg Public. Trust. the rule incorrectly displays a warning message about Trusts. The dealing can proceed. | Check the name entry and alter or continue as appropriate
Rejected & Withdrawn instruments that affect another instrument in the same dealing must be resigned when returned to workspace | If a dealing contains an instrument that is affected by another instrument in the same dealing eg Mortgage (M) then a Variation of Mortgage (VM), if the dealing is withdrawn or rejected it is necessary to resign the VM. A new version of the dealing will be created in Workspace with new instrument numbers. The instrument number of the M previously entered in the VM will no longer be valid and must be changed, prompting resigning. | Recertify and sign the affected instrument
Signing Image Only instruments - Deleting a name in the Insert Names screen deletes all signing for that CP in the instrument | For an Image Only instrument with multiple Conveyancing Professionals (CPs) in the same role, a CP may sign in separate sessions for different parties. If one of those parties is deleted this causes all signings for that CP in that instrument in all roles to be cleared when only the signing instance for the affected party should be cleared. | Information only
Text details in the Clarify Intent field for Discharges is lost when switching modes | If text is added into the Clarify Intent field for 'discharges', the instrument is saved and modes are changed and changed back again with no save in between – the saved text is lost. | Information only
Instrument view not displaying correctly for a Transmission of Simultaneous Deaths in All mode | The Transmission instrument is not showing the resultant shares of the applicants as it should when processed in All Mode. It currently displays eg John Smith as Executor of Jane Smith When it should display John Smith as Executor as to a ½ share of Jane Smith. | Process the Transmission in Share mode
Amendment to Message 28530 to the effect that a Transmission by Survivorship cannot be processed against a Pending Title | It is not possible to prepare a Transmission of Type - Survivorship, Simultaneous Deaths or Joint Family Homes (which is also for simultaneous deaths) against a Pending Title (ie a new title that is not yet Live). If this is attempted the message that displays does not state clearly that this is not possible. | Information only
Prepare Transmission - Unable to TAB past an Applicant row in LMO/Lease Mode | For Transmission Types of Bona Vacantia, Sec 324 Companies Act 1993 and Part 13 Companies Act 1993 it is not possible to navigate the screen using the tab key past the Applicant section. The mouse must be used after that. | Information only
Transmission affecting pending Mortgage or Lease cannot be saved or signed if reopened after initial save | If a Transmission of Type Executor/Administrator is prepared over a Pending mortgage or lease and there are multiple mortgagees or lessees and the Transmission is saved and closed, it is not then possible to further save or sign the transmission. | Open the Transmission, Restore the details, re-enter the pending instrument information and sign in that session
Business Rule T061 (check for caveats & completed certifications etc) does not run the comparison of certifications on Submit of an e-dealing. | If the status of a title changes between signing and submission of an e-dealing – eg an instrument which does not prevent registration, but normally triggers a certification at signing is registered – on submission of the dealing no warning messages will display. Should this rare event occur the dealing will be rejected for lack of certifications. | Recertify and sign the affected instrument
<Description of Part> field in Caveat limited to 505 characters | To allow for all scenarios this size of this field will be increased to a maximum of 1024 characters. | Attach an image to the Caveat with additional details if required
Instruments in an e-dealing are not recognizing prior Lease and Encumbrance instruments in the same dealing | If Lease or Encumbrance instruments are created in a dealing and following instruments in the dealing affect those instruments (eg Mortgage of Lease) it is necessary to manually enter the Lease or Encumbrance number and encumbrancee details into the following instruments. Messages may advise that the numbers are not recognised. | Ignore any such message and process the dealing
Message 28252 not appearing as expected when a title exists for the leasehold estate and the Lease number is entered into an instrument | If a title has issued for a lease, new instruments affecting the lease should be created referencing the title and not the lease number. It is possible to enter the lease number into eg a Transfer in lease mode, and no error message displays. Note – instruments affecting leases step down to Lodge. | Prepare instruments against leasehold estates for which titles have issued in terms of the title reference and not the lease number
Prepare Transfer screen – Complex mode – Third Party Transferors, New Estate to be Transferred and Description of Part fields allow entry past allowable limits | Currently more information can be entered into these fields than can be saved. The fields provide sufficient scope to enter detailed information (eg 500 characters for Description of Part) but this can be exceeded and it is not apparent that entry has exceeded allowable limits. | Preview the instrument to ensure that all entered text is displayed
A&I default type for Caveat and Notice of Claim | For a Caveat or Notice of Claim, the Create A & I Form screen defaults to "Private Corporate" mode rather than "Private Individual" mode in error, but can be manually changed. | Information only
A&I - Alias etc information not displaying for some instruments or when prepared | For some instruments in an e-dealing, when the instruments are prepared and then the A&I screen opened, if the clients have Alias, Name Suffix or Minor details these details are not displayed with the Client Name. | Type this information into the A&I Preview Screen if required
Cancelled fee items not always appearing in the Fees Report | Cancelled fees – ie from a Withdrawn dealing – are not always appearing in the fees report when using Firm/User as the search criteria. They do display if using the Transaction id as the search criteria. | Information only
Inconsistencies in the display of the instrument order in Requests to withdraw instruments where LINZ has changed the order | If a Lodged dealing has the instruments reordered by LINZ, then if a Request to Withdraw Instruments is created the Request will show the instruments in the order LINZ has assigned them, and not in the order of the dealing as it displays in Workspace. | Information only. Care should be taken to select the correct instrument for withdrawal.
Issues with Generating Fees Reports in Workspace | If a fees report is first generated from a search on a client reference it is possible that it may take up to 30 seconds for the fees report result to display. This issue doesn't occur if further reports are generated in that same session. | Information only
TSM - executor over two titles in different ownership does not open in the correct mode | The Prepare Transmission screen should open in Share/Interest mode where there are multiple titles in different ownership, eg John Smith on Title 1 and Jon Smith on Title 2. However, the screen is opening in All mode and unless the mode is changed to Share/Interest or Complex/Exception then Business Rule T059 will fail and the dealing will reject. | Change the mode from All mode to Share mode.
| 1424 | Display certifications at signing for instruments that affect new titles based on registered instruments on the head titles | As set out in the 3.3 Landonline System Updates, conveyancers lodging Image Only new title dealings will now be able to give certifications where an instrument such as an Easement Instrument affects a new title and the head title is subject to a mortgage. The use of imaged consents will be reduced. While certifications will generally display as expected there are some exceptions, ie: Certifications cannot be made to display at signing for:
|
Review the set up of the dealing and correct any wrongly linked titles and instruments. If certifications do not display but, eg mortgagee consent is required, then continue to attach an image of the Mortgagee consent. Refer to the 3.3 Landonline System Updates page for more detailed information. |
Business Rule T058 (check Mortgagors) displays inconsistent results with Image Only instruments | This business rule checks that the Mortgagors entered in the Prepare Mortgage screen match the transferees from the previous transfer/transmission/change of name, or where there is no prior instrument it checks against the registered proprietors. Where the new mortgage is preceded in the dealing by one or more prior Image Only instruments, eg Transfer in Exercise of Power of Sale, Joint Family Home Settlement, the results of Pre-validation for this rule cannot be relied upon. | The conveyancer should check the Mortgagor names entered in the mortgage and where these appear correctly but the business rule has failed, the dealing should be submitted. As the dealing will always Lodge and not auto reject, LINZ staff will register the dealing if the mortgagors are correct.
Memorandum of Priority (MP) instrument shows 'DEFAULT' instruments in the Affected Instrument No drop list | If a MP instrument is prepared and the affected titles have old memorials that do not have an instrument number then a value of 'DEFAULT' displays in the Affected Instrument No drop list in the Prepare MP screen. | Ignore the 'DEFAULT' item
Unable to sign a Transfer of Mortgage (TM) where multiple CP's exist for either role | If a TM instrument is prepared and there are multiple Mortgagors and or Mortgagees to be represented by separate conveyancing professionals, it is not possible to sign the instrument. | Change the instrument type to T(transfer) and use the sub-mode of Lease/Mortgage/Other and further mode 'Mortgage/Encumbrance' to process the dealing as the error does not occur for the T instrument.
Prevalidation of Memorandum of Priority (MP) instrument incorrectly refers to a title not affected by the dealing | This issue can only occur if a new Mortgage and an MP appear in the same dealing and the system number for the new mortgage matches the system number for a registered instrument. Note the 'system number' cannot be seen by conveyancers. | Delete and recreate the new mortgage. This will cause a new system number to be created for the new mortgage and prevalidation will pass.
Title Reference field indicating more than one title affected when using the Search Instrument Type screen | If instruments are returned to the Create Dealing screen using the Search Instrument screen, and there is only one title linked to the instruments, the first instrument will display one title as linked but the second, third and subsequent instruments will display a ‘+’ in the Title Reference column incorrectly indicating that multiple titles are linked. This display issue is corrected as soon as the dealing is saved and reopened, or an instrument is prepared and saved. | Information only
