LINZ's e-dealing road show for Release 3.0 is now complete. From Whangarei to Invercargill, 75% of the country's law firms were represented with 1800 conveyancing professionals attending presentations and workshops.

Feedback from attendees has been positive. "Having an actual computer to work on was very beneficial," said Carol Lightfoot, legal assistant from Anderson Sandford and Allen. Dana Bell from Gallaway Cook Allan said, "Although it was a steep learning curve, the step by step e-dealing Practice Tool was great."

The Release, which went live on 28 April, gives conveyancers the ability to add text and images to certain instruments and enables all Discharges, Transfers and Mortgages to be e-capable.

Updated Quick Reference Cards have been sent out to all licensed firms, and LINZ encourages you to use these to become familiar with the new functionality.

The online FAQs have also been updated, and there's also the Help button within the Landonline application that can help you with the screen you are working on. If you still need help, you can call Customer Support on 0800 ONLINE (0800 665 463).

LINZ would like to thank all the firms that hosted presentations, which helped make Release 3.0 such a success. Many firms have already done 'live' e-dealings and feedback from these has been encouraging.

"We did our first complex transfer today. It went quite smoothly," said Janet Holmes from Ross Holmes lawyers. "The seminar gave a clear picture of what to do and it paid off nicely. We can't wait for the next step now."

Release 3.0 – your questions answered

Release 3.0 has been live since 28 April and conveyancing professionals have been increasingly completing their e-dealings using the new functionality.

We've received feedback regarding a couple of the changes made in Release 3.0 and we would like to clarify these.

Rejected versus Requisitioned

Some conveyancing professionals have asked what the difference is between a rejected and a requisitioned e-dealing.

You will have noticed the new 'Requisitioned' folder that sits in your Workspace. This folder holds any e-dealing you have submitted to LINZ which, due to an error, has been requisitioned.

The e-dealing will remain as Requisitioned until you have corrected the error and the dealing has been re-submitted to LINZ. While the dealing is Requisitioned it will not lose its priority and retains the original date and time it was submitted, provided you correct the error in the notified time.

Rejected e-dealings will be returned to your Workspace because there's a significant error or omission, which means the dealing is not acceptable for registration. Rejected e-dealings will be allocated a new dealing number and will need to be amended and re-submitted to LINZ using the new dealing number.

A re-submission fee of $13 applies per instrument to both and rejected and requisitioned dealings.

Instrument view

You will have noticed that the LINZ and Landonline branding are no longer shown when you print the instrument view page from Workspace. This is because the document is not an official LINZ instrument until it has been registered.

The main reason for removal of the instrument information is to retain solicitor(s) certifications and signatures on a rejected dealing.

Prior to Release 3.0, the certifications and signatures were automatically removed on all instruments in a rejected dealing. The reason this had to occur was that the instrument number was an integral part of the original instrument that was signed, which therefore formed part of the non-repudiation.

As rejected dealings are allocated new numbers, all instruments needed to be re-certified and signed. This caused problems as other parties involved in the transaction had to re-sign. By removing reference to the instrument number, it now means that the certifications and signatures are retained.

Scanning using Group 4 Fax compression

When scanning attachments to dealings, LINZ recommends using the CCITT Group 4 Fax compression (Group 4) file format as it is the most efficient.

Landonline is also able to upload CCITT Group 3 Fax compression (Group 3) images files, which convert to Group 4. However, Group 3 image files are generally larger than Group 4 and therefore take longer to upload into Landonline. Also, depending on how Group 3 loaded the file, some pages may not be viewable in the Preview Instrument screen and at Certify and Sign.

We therefore recommend that wherever possible use Group 4 Fax compression to scan the images you wish to attach to your dealing.
